Position: Development Database Coordinator
Classification: Non-Exempt/Hourly
Reports to: Director of Development
Compensation: $46,000 - $56,000

Position Objectives:
The Development Database is responsible for operating, maintaining, and enhancing the use of LISTEN’s donor database, including gift entry and acknowledgment, queries and reporting, records management and review. This role also supports other communications vital to donor relationships, such as general donor inquiries, honorarium and memorial notifications, and payment questions/issues.
Responsibilities:
Database management:
- Serve as the primary administrator of the LISTEN’s donor database, Little Green Light (LGL), including gift entry, record creation and maintenance, contact reports, and data reporting as requested by senior staff
- Perform routine data auditing, including review of constituent records, groups, addresses, gift attributes, appeal codes, and duplicates, as well as continued clean-up projects of migrated data from Lifeline (LISTEN’s retired donor database)
- Research and troubleshoot donor data discrepancies using White Pages, online searches, or direct contact, to maintain accurate contact information, affiliations, and background notes
- Establish, document, and maintain database best practices and procedures to support long-term database integrity
- Maintain LGL Forms (LISTEN’s online web donation form) to ensure accurate collection of necessary donor data, ensuring form changes adhere to best practices and prioritize user-friendliness
- Facilitate the mapping or data transfer between related information systems, such as Mail Chimp, LGL Forms, Volunteerhub, and Little Green Light
- Create donor data queries/exports, as requested by senior staff, for direct mail appeals, email campaigns, and other communications requiring donor contact information and other relevant data
- Reconcile NCOA reports from Quality Mailing House with existing donor contact records as needed
- Review local obituaries to stay up to date on donors who have passed and update database records accordingly
- Engage in regular LGL and database best practices training to streamline and refine existing processes
Gift processing:
- Perform gift entry for online, recurring, one-time, in-kind, tribute, Facebook, stock, employer matching, and grant donations from individuals, donor-advised funds, businesses and organizations
- Gift processing tasks include data entry, gift and appeal coding, and communicating with Admin Staff who receive, scan, and deposit check, cash, and gift card donations
- Request matching donation disbursements through company websites
- Facilitate online donation reimbursements, recurring donation cancellations, or other issues within the Stripe payment platform
- Ensure gift entry is completed in a timely manner, meeting tax acknowledgment deadlines even during periods of heavy gift volume
Donor relations:
- Create donor acknowledgments/thank you letters, including formatting letters written by the Development Director, integrating templates in Little Green Light for data merge, and reviewing and customizing individual letters. Communicate with the Admin Assistant and Senior Staff who will print, sign, & mail the letters
- Coordinate timely resolution of return-to-sender mailings for development communications
- Maintain accurate and current constituent records that effectively track key contact information, groups and associations, communication preferences, personal background information, solicitation history, and contact reports
- Facilitate yearly tax letters to automatic recurring donors
- Respond to donor inquiries, including problems with checks, credit cards, and recurring gifts, as well as questions regarding how to give by mail, online, or stock donation
- Facilitate honorary and memorial gift notifications, including tribute messages and fundraising updates to honorees or family of deceased
- Review local obituaries to stay up to date on donors who have passed and update Senior staff to facilitate condolence letters as they see fit
Requirements:
- Bachelor’s degree plus 3-5 years’ experience in nonprofit development, or equivalent combination of education and experience
- Experience in stewarding a relational database, establishing donor database best practices, and generating constituent and fundraising reports (preferably in Little Green Light)
- High integrity and confidentiality handling sensitive donor and organizational information
- Excellent attention to detail and ability to work and communicate with both technical and non-technical users
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Demonstrated organizational, time-management, and problem-solving skills
- Excellent communication and customer service skills
- Ability to work independently and be accountable

Physical Requirements:
While performing the duties of this job, the employee is frequently required to sit. The employee will occasionally be required to stand, walk, bend and reach. The employee must be able to occasionally lift and / or move items weighing up to 15 pounds. Manual dexterity is required to finger, handle or grasp objects. Must be able to hear, see and talk.
